Arranging a Move

Moving can be a daunting task, especially if it’s from a family home of many years, but there are ways to make the process positive and easier. Communicating clearly and honestly about the move is the first step. If you are the one moving, make sure to ask for or find support from people you trust. If you are helping a loved one move, remember to honor their choices and that this is likely an emotional process for them as they say goodbye to the home they’ve known.

A Step by Step Guide to a Successful Move

Communicate

Verbally acknowledge the specifics about the move to create a realistic picture of what’s to come and how much downsizing will be necessary. For example, if you are moving from a 2500 sq. foot home to a 1250 sq. foot cottage, that is a 50% reduction.

Create a Plan

Print out the floorplan of the new space and talk together about how you may want to lay it out. Use the map to measure existing furniture to visualize how things will fit. Make a list of things needed to purchase.

Enlist Help

Getting help from relatives, friends and/or professionals is essential. If budget allows, you may want to consider hiring a Moving Manager that specializes in senior relocation. The National Association of Senior Move Managers is a good resource.

Sort and Organize

Start with easy and obvious places to avoid overload and see progress. Using a color coded system can help: Green for “go”- to the new place, Red for “stop”- do not move, Yellow for “undecided” – come back to later. Getting a bit emotional during this part of the process is natural.

Disposal, Cleaning and Repair

There will likely be donations to charity, items to dispose of and depending on what is happening with the existing home it will need cleaning and possibly some repair.

Plan Moving Day

If you are using a Moving Manager they will handle much of this for you. If not, you will need a professional moving company or a moving truck. Reputation of movers is key, so make sure to get referrals and hard estimates in writing. The American Moving and Storage Association is a good place to start.

Pack a suitcase like you are going on a weekend trip. Also, pack a box labeled “ESSENTIALS” with items you know will be needed in the first 24 hours (towels, alarm clock, etc.). This should be last box put on the moving truck. Creating as much normalcy on a hectic moving day is key.

Stay in Touch

Reach out to friends and family as well as key contacts like publications, associations and banks with you or your loved one’s change of address. Change of address should also be made through the US Postal Service.

The most critical documents for the aging person and their family to create or have created by an attorney are a Last Will and Testament, Power of Attorney and Health Care Directive.

This document allows the person to specify gifts to family members, loved ones and organizations after they are gone. Without it, the government can decide what happens to your possessions, property and money.

Appoint an Executor for the Will

An executor administers the estate and is responsible for collecting assets, paying debts and taxes, and then distributing the remaining assets of the estate in accordance with the direction of the will. An executor should be a trusted person that has the capacity to handle this responsibility.

Update the Will as Needed

In order to ensure the validity of a will, certain events mandate that updates are made. Use a Codicil (legal addendum) if there is a change in executor, guardian or you want to make simple changes or additions. If there is a marriage or divorce or you need to add or remove a beneficiary, a new will should be created.

Designate Power of Attorney

This document gives another party the legal authority to act on your behalf to manage legal and financial affairs if you no longer can. The power can be very broad, or limited to a specific task or tasks. Power of Attorney is for when people are still living, while an Executor administers the estate after a person has passed. Power of Attorney may be given to the same person chosen as Executor, but it should be someone that you trust and understands your wishes.

This document allows the aging person to determine specific choices for their medical treatment if they are no longer to communicate or provide consent. It also allows for a trusted person to be designated to make healthcare decisions for them if they are unable to do so.

It’s important to let your loved ones know that you have created these documents and to share the parts you want them to know. Some people also write a letter to go along with their Will that details certain wishes (like funeral arrangements or who they want items of sentimental value to be passed to).

Pull together the documents your executor will need, such as; insurance policies; bank and brokerage house statements, and pension and other employee-benefit information. Keep an up-to-date list of assets, contact info of your legal and financial advisers, and an inventory of the items in your safe-deposit box.
